Duties & Responsibilities:

  1. Coordinate Projectsmeetings, taking meetings minutes, assigned responsibilities and set timeline and ensure adequate follow-up and completions.

  2. Support the ComplexGeneral Manager and the Executive Committee Members and work as one team.

  3. Assist the ExecutiveCommittee Members in achieving their goals and initiatives.

  4. Follow up, on the ComplexGeneral Manager’s behalf, on projects or tasks that must be completed bythe Executive Committee Members and Department Heads.

  5. Coordinate the ComplexGeneral Manager’s schedules, appointments and meetings. This includespreparing PowerPoint presentations, arranging meeting space, coffeebreaks, stationery and audiovisual equipment needed for the meeting.

  6. Coordinate the ComplexGeneral Manager’s travel arrangements, including flights, hotelaccommodations, Airport pick-up & drop and visa applications, asneeded.

  7. Ensure the proper runningof the Executive Office in terms of correspondence, telephone calls,faxes, visitors, maintaining office stationery and equipment, sending,receiving and distributing mail and courier.

  8. Attend the ExecutiveCommittee meetings, taking meeting minutes and distributing them to theattendees and following up on issues accordingly.

  9. Tackle some guest andcustomer complaint letters that arrive at the Executive Office, directthem to the Executive Committee Member or Manager concerned and make surethat problems are solved and guests are satisfied.

  10. Manage Christmas and BirthdayCard distribution and post and to remind the Complex General Manager aboutsocial events and occasions, such as birthdays, weddings, anniversaries,and Embassies’ national days. Coordinate ordering flowers and/or cakes, asappropriate.

  11. Coordinate with ComplexGeneral Manager & Executive Committee to attend the Jordan BusinessCouncil meetings, taking meeting minutes and distributing them to theattendees. Track and monitor on monthly basis the JBC initiatives whichinclude Community Relations, Cultural, Government Affairs and MarketDriven Initiatives, and finally prepare the JBC year end reporting.

  12. Support the OperationsDepartments by attending the Operations Excellence meetings and takingmeeting minutes, as well as attending the Operations Marketing andBusiness Plan meetings, proof-reading the final draft for the annualOperations Marketing & Business Plan File that is sent to the AreaOffice.

  13. Attend other meetings,such as the Staff Meetings, taking meeting minutes and distributing themto the attendees.

  14. Support total HotelInitiatives by tracking them online on quarterly basis.

  15. Document the BrandStandards Self Audit scores online on quarterly basis.

  16. Support the differenthotel disciplines in accomplishing their tasks in a professional andtimely way; this includes proof-reading of material and collateral.

  17. Have excellent computerskills, including Microsoft Word, Excel, PowerPoint and Microsoft Outlook.

  18. Perform translation ofArabic documents into English and vice versa, as requested by the ComplexGeneral Manager and Executive Committee Members.

  19. Maintain files at theExecutive Office up-to-date, including the personal files for theExecutive Committee Members and expatriate managers. Maintain an adequatetracing system.

  20. Update the ManagementRoster and send it out to the Area Office on regular basis.

  21. Arrange the monthlyattendance sheet for the Complex General Manager and Executive CommitteeMembers, and submit to payroll on due date.

  22. Prepare the Manager onDuty schedule on monthly basis and distribute it to the managers concerned.

  23. Help to arrange forAssociate bookings at Marriott Hotels in the area, securing the associaterate when available.

  24. Prepare of VIP andcomplimentary forms and arranging owning company bookings in MarriottHotels worldwide, as requested by the Complex General Manager.

  25. Actively participate inthe Environment Community Club and other hotel committees such as theCafeteria Committee.

  26. Be hospitable, pleasant,cooperative, prompt and resourceful. Have excellent interpersonal,communication and organizational skills, maintain a professional demeanorand be a role model to co-workers.

  27. Perform other duties asmay be assigned or required by the Complex General Manager.

  28. Prepare gift vouchers,prizes, donations, guest cards, letter of thanks, reports as requested.

  29. To proactively engage inthe development of processes and methods to improve the service andefficiency of all areas of the role.

  30. To interact with guestseither VIPs or previous complaints.

  31. To build externalrelationships in the community.
